Summary/Objective
To maintain all student files and grade records in a timely, accurate manner and to evaluate and enter transcripts into a computerized system. Ensuring accurate records in compliance with state reporting and performing a variety of clerical services, following standardized procedures, in an assigned area.
Essential Functions

- General knowledge of student information systems
- Responding to all internal and external customers, as it relates to the position, in a prompt, efficient, friendly, and patient manner
- Performs a wide variety of clerical tasks including typing, filing, coding, preparing reports
- Sets up permanent record files for new and transfer students and verifies for completeness
- Maintains and services the active, inactive and withdrawal files for all students, including cumulative records, recording of grades, special tests, activities and other information as required
- Sends out transcripts of students transferring to other schools or entering colleges and universities
- Maintains a variety of files and records as per state guidelines
- Makes credit checks on every student and makes corrections where necessary
- Produces a variety of lists and reports for school use (class rank, graduation, diplomas, failure reports, proficiency scores, etc.)
- Maintaining the confidentiality of protected student and staff member information even after no longer employed
- Maintaining knowledge of and adheres to all policies, regulations, and rules
- Performing related duties as assigned in a safe and prudent manner

Position Type/Expected Hours of Work
At-Will Notice of Employment does not provide a guarantee of a particular schedule of work or a minimum number of days or hours.
This is a 12-month, 40-hour per week position. This position is eligible for medical benefits. The employee will work ten hours per day Monday through Thursday during core business hours. Extended work hours to meet deadlines may occasionally be required.
Required Education and Experience
- High School Diploma or equivalent
- Satisfactory criminal background check

Office experience within a school setting.

Work Authorization/Security Clearance
Must be able to pass a criminal background check and obtain a Fingerprint Clearance Card with an IVP number through the Arizona Department of Public Safety.
